Bottlenose seeks Part Time Bookkeeper to Modernize and Streamline

We are a small web development company in Florence, MA. We currently have 3 full-time employees and 9 part-time, and approximately 100 clients. We use single-user QuickBooks Pro to do our general bookkeeping, generate monthly paper statements and process payroll.

In addition to taking over the general bookkeeping, we are seeking someone who experienced with more modern bookkeeping and billing practices. Candidates should have experience and specific ideas about how to accomplish the below goals:

Move away from the QuickBooks single-user environment: We are unhappy with only one user at a time being able to review and interact with our books and having to do so through a single Windows environment. We believe the way to go is QuickBooks Online, as it will allow us to continue to use their integrated payroll service, however, are open to any option which allows us to migrate our existing books and process direct deposits for our employees.
Streamline billing: Our current billing process is cumbersome and time-consuming. We generate, print and mail paper statements monthly, and customers mail us checks or submit requests for automatic monthly credit card payments to our office, which are adjusted in QuickBooks. Ideally, we would like to:
Go as paperless as possible.
Allow customers to pay online and without interacting with our office.
Easy, well-integrated collections for delinquent accounts.

In addition to these initial goals, which may temporarily require a more significant time commitment, we are also looking to have this person take over general bookkeeping. This would require no more than 4 hours per week, perhaps less if the above goals are accomplished.

Please submit resume and a brief proposal for accomplishing the above goals to admin at bottlenose-wine.com.
