Deb, You might want to consider creating a web site for the purpose of collecting, formatting, searching and downloading data. Most web site hosting providers offer MySQL database functionality and I have found this to be a very versatile and inexpensive way of allowing multiple people to input data into the same database(s). It also affords much flexibility in displaying, sorting, searching and downloading that data.
