[Hidden-tech] Best practices for virtual 501c3 operations?

I am involved with the administration of a couple of 501c3s. We have
international activities, various consultants and staff working on
multiple projects across both organizations, and bookkeeper on
QuickBooks online.

Can any of you share some 'best practices' in virtual 501c3
operations? I ask this in light of announced future scrutiny of 501c3
status.
For example, we are looking at online time-tracking to better document
the time that goes into various projects. Any suggestions to guide us
as we set this up?

Any suggestions for what technology to use for an organizational
'intranet' (in the cloud) where we can keep track of activities, link
to time tracking, store core documents, wiki-style collaboration on
documents and spreadsheets, and maybe even email integration? We are
looking at Google Sites/Wave/Docs. Good idea? Other suggestions?

Our idea is to be able to simply give IRS a password to this intranet,
if ever they come knocking (or at least have everything ready) ...
